ITSBITS Port-Of-Entry Program Welcome to the ITSBITS Insurance Brokerage Software Intranet Site
|
The Port-Of-Entry program is designed to be your portal to let you into the system with a convienient view of the data that you can work from when answering the telephone, receiving payments, insureds' information changes, etc. The program is documented below.
When the Port-Of-Entry Program begins, it will first display the "splash" screen as shown below for about 5 seconds:

(The mountain scene is a picture taken by Wallace Allison in the Rocky Mountain National Park in 2003.) Next, the system will open a connection to the data base and load data from the tables in the data base. As this is taking place, you will see the "Daily Tips" screen--something like this:

As is indicated on this window, if you don't want to see the daily tips, just click the appropriate box before clicking on the open-door icon to exit from the window. If you want to continue seeing the daily tips, simply leave the window by clicking the open-door icon. Next you will see the opening screen for the Port-Of-Entry. This screen will show a data grid containing the Insureds' data. It will look something like this:
There are a number of general points to be made concerning this screen.
First, notice that there are two "toolbars" across the top of the form. One of these has small icons representing the various components of the ITSBITS suite of programs. By clicking on the appropriate icon, you can update tables, do processing, see reports, get help, etc. If you hover your mouse over one of the icons, you will see a "tool tip" that tells you what it does. The other toolbar has buttons that indicate the modes the Port-Of-Entry program is currently using. Notice, for example, that the button for "Insureds Information" is "pushed" when the program starts. This indicates that you are looking at a screen that offers you a view of the Insureds' data. The other buttons on this toolbar will give you access to different views of the ITSBITS database tables' data. In addition, there is a button to refresh the data--you will need this after you update a database table. There is also a button for "Full Display." If this button is "pushed" you can see all historical data as well as the normal "user" data. If the button is not "pushed" you will not see the historical data in the Port-Of-Entry.
Now notice that for each toolbar item, there is a menu item that corresponds to it. You can use whichever approach is more comfortable to you--toolbar button/icon or menu item.
Now note the column that ranges down the left-hand side of the screen and has nothing but empty blocks in it. If you double-click on the block associated with a row, you will see the information related to the insured's record that is on the selected row. The screen will look something like the one shown just below:
To return to the first screen, double-click on the title associated with the data--in this case, that will be where it says "Insured." This same method of navigation will apply to all views used in the program.
When you have returned to the first screen, try clicking on the "Policy-Company Track" toolbar button. This will show you a screen that, at first glance, is similar to the first or opening screen. However, upon closer inspection you will notice that it lists active policy rows. The screen will look something like the one shown below:
As with the first screen, if you double-click on the left-hand block associated with a policy row, you will see a breakdown of all the pertinent Company-track information tied to the indicated policy. The screen will look something like the one shown below:
You can double-click on the header-line that says "ActivePolicies" to return to the previous screen.
Now click on the "Policy-Ins Cxr Track" toolbar button (or menu item. The screen will change only slightly because you are showing the same information--active policies data. However, if you click on the left-hand block associated with a policy row now, you will see a breakdown of all the pertinent Insurance-Carrier-Track information tied to the indicated policy. The screen will look something like the one shown below:
You will see that there is too much information associated with a single policy to display it on a single screen. For this reason, the company-track and the insurance carrier track are separated as you can see.
Now, just for fun, click the "Salesman's Information" toolbar button (or menu item). The screen will look something like the one shown below:
Double click on the left-hand block associated with an active sales person's row and your screen will change to show all the insured assigned to that sales person. The screen will look something like this:
Double-click on the header that says, "SalesPerson" to return to the first sales person screen.
Now, just for fun, click on the "Insurance Carrier" toolbar button (or menu option), click on a carrier's row to drill down and see that carrier's data.
Finally, please note the very bottom line of your screen. It shows you the server and database you are looking at as well as the time when the data was pulled from the server. Furthermore, on the bottom-right of the screen there is a little traffic icon. As long as you have a green light, you are successfully connected to your database. If the traffic icon ever turns to a red light or stop sign, your connection to the database is lost. Assuming ITSBITS has been working, this will indicate either a network or a SQL-server problem and you will find the ITSBITS programs are inoperative until the network or SQL problem is corrected--it is not an ITSBITS problem. If ITSBITS has never worked, the problem can either be in your network your SQL Server setup, or your ITSBITS configuration.
